  • Details of the roles you are seeking, your salary expectations and your notice period

  • Evidence of your right to work in the UK, which may include passport, visa or identity documents
  • Notes from our conversations with you about your search

If you are a client

  • Name, job title, business address, telephone number and email address
  • Details of your hiring requirements and the roles you are recruiting for
  • Records of our correspondence and agreements with you

If you visit our website

  • Any information you submit through our enquiry or application forms
  • Technical information such as IP address, browser type and pages visited, collected through cookies and similar technologies

3. Special category data

In limited circumstances we may hold data that UK GDPR treats as special category, for example health information where a reasonable adjustment is needed for an interview, or diversity monitoring information where you have chosen to provide it.

We only process this data where we have a lawful basis to do so and, where required, your explicit consent. You are never obliged to provide it.

  • From clients, where they provide information relating to your application

Where we rely on legitimate interests, our interest is in operating a recruitment business and connecting candidates with suitable employers. We have assessed that this does not override your rights and freedoms.

  • Clients, where we are putting you forward for a role. We will always discuss this with you first.
  • Referees you have nominated.
  • Service providers who support our business, such as our IT, hosting, recruitment software and email providers. These providers act on our instructions and are bound by contract.
  • Professional advisers, such as our accountants and legal advisers.
  • Regulators or law enforcement, where we are required to do so by law.

We do not sell your personal data.

7. International transfers

Your data is primarily stored and processed within the UK and the European Economic Area. Where any of our service providers process data outside these areas, we ensure appropriate safeguards are in place, such as UK adequacy regulations or the International Data Transfer Agreement.

8. How long we keep your data

We keep personal data only as long as we need it.

  • Candidate records: retained for as long as we have a legitimate reason to keep them, reviewed periodically, after which they are deleted or anonymised.
  • Client records: retained for the duration of our relationship and for a reasonable period afterwards.
  • Financial records: for at least six years, as required by HMRC.
  • Website enquiry data: retained only as long as needed to deal with your enquiry, unless it becomes part of a candidate or client record.

Where you ask us to remove your data, we will do so unless we are required to keep it for a legal reason.

9. How we protect your data

We maintain appropriate technical and organisational measures to protect personal data against unauthorised access, loss or misuse. These include access controls, secure hosting, encryption in transit, and staff training on data protection.

No transmission over the internet can be guaranteed as completely secure, but we take reasonable steps to protect information you send us.
